Case Management & Workflows
Multi-Role Case Lifecycle
Cases flow through intake, investigation, and resolution with role-specific views for social workers, investigators, and district officers. Each role sees the actions and data relevant to their function, keeping workflows focused and efficient.
Cross-Agency Referrals
Refer cases between authorised protection, regulatory, investigation, and social welfare partners with full audit trails and status tracking. Referrals appear in the receiving team's inbox instantly, enabling coordinated multi-agency responses to child protection concerns.
Anonymous Reporting
Citizens can submit gender-based violence and safety reports without creating an account, then track progress with a private reference number. This lowers the barrier to reporting while maintaining survivor confidentiality throughout the process.
SafeApps Light
SMS-first reporting for children without smartphones or stable data. The light mock shows how a basic phone report can receive a reference number, show child helpline guidance, and create a responder queue item without collecting unsafe media.
School Incident Management
Teachers and counsellors can log cyberbullying and safety incidents directly from the school environment. Incidents can be escalated to district-level officers or referred to SafeChild for formal child protection case handling.
Analytics & Reporting
Real-Time Dashboards
Role-specific dashboards showing case volumes, response times, trends by province, and workload distribution at a glance. Supervisors and district officers get the overview they need to manage resources and identify bottlenecks.
Trend Analysis
Track incident patterns over time to identify hotspots, seasonal trends, and emerging risks across districts and schools. Trend data supports evidence-based policy decisions and helps allocate prevention resources where they are needed most.
Data Exports
Export case data and reports for funders, government oversight, and programme evaluation. Supports CSV and PDF formats with configurable fields and date ranges, making it straightforward to meet reporting requirements.
Accessibility & Reach
Offline-First (PWA)
Full functionality without internet connection. All data is stored locally and syncs automatically when connectivity returns. This is essential for social workers and field officers operating in rural Zambian districts with limited network coverage.
Multi-Language Support
Available in English, Bemba, and Nyanja with a language switcher accessible from any screen. This ensures inclusive access for users across all of Zambia's provinces, in the language they are most comfortable with.
Mobile-Optimised
Responsive design with bottom tab navigation and touch-friendly interfaces optimised for field workers using phones and tablets. Every workflow is usable on a smartphone screen without compromise.
Guided Tours
Interactive walkthrough overlays guide first-time users through each application's key features. Tours auto-start on first visit and can be replayed at any time, reducing training requirements for new staff.
Privacy & Security
Role-Based Access Control
Each user role sees only the data relevant to their function. Sensitive case details are restricted to authorised personnel, ensuring that personally identifiable information is protected at every level of the system.
Survivor Confidentiality
Anonymous reporting channels, private tracking codes, and data minimisation ensure survivor safety throughout the reporting and case management process. No personal data is required to file a report.
Audit Trails
Every case action (status change, referral, note, assignment) is logged with timestamps and user attribution. This provides full accountability and supports internal reviews, oversight, and compliance requirements.
Interoperability
Cross-Platform Sync
SafeChild, SafeVoice, and SafeSchool share referral data through linked references and referral workflows. A school safety incident logged in SafeSchool can trigger a child protection case in SafeChild, and a SafeVoice report can be routed to the appropriate agency.
SMS & Notifications
Automated alerts for case updates, referral assignments, and escalation deadlines via SMS and in-app notifications. Field workers stay informed even when they are not actively using the application.
API-Ready Architecture
RESTful APIs can support integration with government, NGO, case-management, and third-party reporting systems where an authorised operator approves the connection. The platform is designed to fit into Zambia's existing digital infrastructure rather than replacing it.
Case PDFs for Data Sharing
Generate case summary PDFs that can be shared with healthcare providers, social services, or other support organisations with proper consent. This supports care coordination across multiple service providers.
